This details the Privacy Policy of Solomon Solutions Ltd (refereed to as “we” or “us”) who act as a Data Controller for your Personal Data (as defined by the General Data Protection Regulation [GDPR]).

This notice applies to data gathered from you by our website, by email, by telephone, other electronic medium or from you in person.

Data collected

We may collect and store (either electronically or on paper) some personal information about you. This may include:

  1. Your name
  2. Your company name / place of work
  3. Your email address
  4. Your phone number or Skype address
  5. IP address

With the exception of the IP address, no information information will be collected automatically. We will either ask you for it, or you will have supplied it to us, perhaps by emailing us with an inquiry.

What will we do with your data?

We will only use it to contact you, to discuss your inquiry or to do business with you.

We will not provide any of your information to any third party without your permission.

We will not send you marketing material on behalf of us or any third party (unless required in order to answer your query).

Your IP address is just used to compile visitor statistics to our web site (for example to list visitors by country). We do not use it to determine any personal information about you.

On what Lawful basis is my data processed?

We use the Contract Lawful basis to process your data.

You can rely on this lawful basis if you need to process someone’s personal data:

  1. to fulfil your contractual obligations to them; or
  2. because they have asked you to do something before entering into a contract (eg provide a quote).

How long will we keep your data?

Client data is retained for the duration of your relationship with us, and 6 years after a relationship ends (so we may answer any queries you may have in that time).

Potential client data may be retained for up to 2 years (decided on how the sales process has progressed) as it’s not uncommon for that timescale between initial inquiry and entering a contract.

Supplier data follows the same rules.

All data is reviewed annually and deleted as required.

It is your right at any time to request what data we have on you, and tell us to delete it. See next section for more details.

Cookies / web analytics

We use Google Analytics on our web site to compile usage statistics. We do not collect any personal data from you for this purpose. For those familiar with Google Analytics, IP Anonymization is turned On and User-ID, Remarketing, Advertising Reporting Features are set to Off.

Google Analytics uses cookies to identify you as a repeat visitor. These cookies do not store any personal data. The site also sets a small number of other cookies which are essential to the site’s operation. Again, these do not store any personal data.

What are my rights?

Individuals have the right to be informed about the collection and use of their personal data. This is a key transparency requirement under the GDPR.

Individuals have the right to access their personal data

The GDPR includes a right for individuals to have inaccurate personal data rectified, or completed if it is incomplete.

The GDPR introduces a right for individuals to have personal data erased. The right to erasure is also known as ‘the right to be forgotten’.

Individuals have the right to request the restriction or suppression of processing of their personal data.

The right to data portability allows individuals to obtain and reuse their personal data for their own purposes across different services.

The GDPR gives individuals the right to object to the processing of their personal data in certain circumstances.
